Information Technologies – a Necessity in Managing the Modern Educational Process

The automated system “University” provides information-analytical support for the processes of managing the educational, scientific, and other activities of the university and ensures university staff with the corresponding tools for effective performance of professional functions. The system supports the management of all stages of the educational process – from the development of educational plans and schedules, the calculation of department and teacher workload, to the comprehensive support of students throughout their entire period of study, starting from the admission campaign and ending with the awarding of qualifications.

The automated system “University” consists of the following functional subsystems:

Subsystem “APPLICANT”

  • processing personal files of applicants,
  • automatic generation of the competitive situation,
  • automated generation of protocols and orders,
  • generation of printed forms for all documents, statistical and analytical reports.

Subsystem “STUDENT”

  • processing student academic records with the ability to upload photos, view student performance information, etc.,
  • automated generation based on semester educational plans of students’ examination information, taking into account various systems of organizing the educational process,
  • automated generation of orders for the student body, for scholarship appointments, for material assistance and incentives,
  • electronic register of student applications for the choice of disciplines and a convenient editor for assigning selected disciplines to students,
  • automated generation of diploma supplements, order forms, information, and other documents, analytical and statistical reports.

Subsystem “EDUCATION”

  • formation of basic, working, and semester educational plans,
  • automated formation of semester plans from basic educational plans,
  • entry of basic and working schedules,
  • formation of working programs for educational disciplines,
  • specialized module with a convenient interface for forming the schedule of the educational process with a mechanism for blocking classrooms, teachers, and student groups,
  • processing of indicators by structural units and automated calculation of rating places according to the approved methodology.

Subsystem “FINANCE”

  • processing contracts for student education with a mechanism for automated accrual and formation of the current balance under the contract,
  • processing of scientific contracts,
  • accounting of subaccounts of units, automatic formation of balances on subaccounts in terms of items to control spending,
  • automated distribution of funds to subaccounts of units in accordance with approved provisions.

Subsystem “DOCUMENTS”

  • processing decisions of the academic, scientific, and methodological councils, incoming, outgoing, and internal documents with a mechanism for automated control of task execution,
  • electronic register of regulatory documents,
  • automated generation of certificates for business trips.

Subsystem “PERSONNEL”

  • personal files of employees

  • export of data to the “CONTEST” IS of the Ministry of Education and Science of Ukraine,
  • integration with the EDBO system of the Ministry of Education and Science of Ukraine,
  • import of the library catalog from “UFD/Library”,
  • export of data to the “DP2000” subsystem,
  • automatic import of PrivatBank payment documents with a distribution mechanism by contracts,
  • export of orders for the appointment of scholarships, material assistance to the “1C Accounting” system,
  • import of payment documents and expenditure documents under scientific contracts from the “1C Accounting” system.

The automated system “University” has a user-friendly interface, a flexible mechanism for selecting and searching for data, a mechanism for saving electronic copies of documents, a mechanism for generating printed forms of all necessary documents and analytical and statistical reports. The system provides the necessary level of data security, user authorization, distribution of access rights to system functions and data, and a mechanism for logging operations.
